LeaveBot (operated by Telepathy) is committed to protecting your privacy. This policy explains how we collect, use, and safeguard your information.
Information We Collect
- Contact information: Email address provided during checkout
- Payroll data: CSV files uploaded for audit processing (employee names, pay periods, earnings, leave records)
- Employment agreements: Details entered about employment terms and conditions
- Payment information: Processed securely by Stripe — we do not store card details
How We Use Your Information
- Generate your Holidays Act remediation report and transition plan
- Deliver your report via email and PDF download
- Process your payment through Stripe
- Provide customer support if you contact us
Data Storage & Security
- Payroll data is processed in real-time and stored in encrypted AWS infrastructure (ap-southeast-2, Sydney region)
- Generated reports are stored in Amazon S3 with server-side encryption
- Download links expire after 1 hour
- Transaction records are stored in Amazon DynamoDB
- We do not sell or share your data with third parties
AI Processing
We use Anthropic Claude to analyse employment agreement terms and generate report narratives. Pay component data may be sent to the Anthropic API for interpretation. All mathematical calculations (OWP, AWE, leave pay) are performed deterministically without AI involvement.
Data Retention
Transaction records and generated reports are retained for 12 months from the date of generation. After this period, data is automatically deleted. You may request early deletion by contacting us.
Your Rights
Under the New Zealand Privacy Act 2020, you have the right to access, correct, and request deletion of your personal information. Contact us at help@support.leavebot.co.nz to exercise these rights.
